GHOST

You spent weeks finding the perfect candidate. They nailed the interview. You sent a follow-up. They seemed excited. Then they vanished.

Candidate ghosting is when a candidate stops responding during the hiring process—no explanation, no courtesy decline, just silence.

It's frustrating. But it's rarely personal. Candidates ghost when the process fails them. Here's what's really happening—and exactly how to fix it.

The Ghosting Epidemic

28%

Ghost After Applying

46%

Ghost After Screening

40%

Ghost After Interviews

The Cost

  • Wasted time: Average 8-12 hours per ghosted candidate (screening, interviewing, follow-up)
  • Delayed hiring: Restarting the search adds 2-3 weeks to time-to-hire
  • Team morale: Interviewers feel their time isn't valued
  • Lost second choices: You already rejected other candidates

Why Candidates Ghost

1

Your Process Is Too Slow

Top candidates get multiple offers. They accept the first good one—not the best one.

Reality check: Best candidates are off the market in 10 days. If your process takes 30+ days, you'll lose them.
2

Poor Communication

Candidates don't know where they stand. Silence feels like rejection.

• No acknowledgment after applying

• "We'll be in touch" with no timeline

• Weeks between interview and next step

• Generic updates with no specifics

3

Bad Interview Experience

The interview revealed red flags they didn't expect.

  • • Unprepared interviewer who didn't read their resume
  • • Disorganized process or confusing next steps
  • • Cultural misalignment became obvious
  • • Role expectations changed mid-interview
  • • Interviewer was dismissive or rude
4

They Accepted Another Offer

And they feel awkward telling you. Especially if you've been slow to respond.

Important: If you take 2+ weeks between stages, assume they're interviewing elsewhere. Speed matters.
5

They Changed Their Mind

Life happens. Priorities shift. Current employer makes a counteroffer.

They're embarrassed to admit it, so they disappear instead.

6

Too Many Hoops to Jump Through

Five rounds of interviews. Take-home assignment that takes 10 hours. Panel presentation for a mid-level role.

At some point, the effort isn't worth it—especially if other companies make it easier.

Ghosting Rates By Stage

After Application

28%

Why: They applied to 20+ jobs. Yours got lost in the shuffle. Or they never heard back and moved on.

Fix: Send instant acknowledgment email. "We got your application. You'll hear from us by [specific date]."

After Phone Screen

46%

Why: The call was generic. They didn't feel valued. You took too long to schedule the next interview.

Fix: Schedule next interview on the spot. "You're a great fit. Can you do Tuesday at 2pm for the next round?"

After Interview

40%

Why: They accepted another offer. Or the interview experience turned them off. Or you ghosted them first.

Fix: Send update within 48 hours. Even if you're not ready to decide: "Still reviewing. You'll hear from us by Friday."

After Offer (Pre-Acceptance)

17%

Why: They got a better offer. Or yours came too late. Or the negotiation felt adversarial.

Fix: Make competitive first offer. Don't lowball. Stay in touch during decision window. "How are you feeling? Any questions?"

After Offer Acceptance (Pre-Start)

10%

Why: Long notice period with no contact. Current employer counteroffered. They got cold feet.

Fix: Stay engaged between acceptance and Day 1. Send welcome kit, intro to team, onboarding preview. Weekly check-ins.

How to Prevent Ghosting

1. Communicate Constantly

Candidates ghost when they don't know where they stand. Over-communicate.

Response Time Rules:

  • • Application received: Immediate (automated)
  • • Screening decision: Within 5 business days
  • • Interview scheduling: Within 48 hours
  • • Post-interview update: Within 48 hours
  • • Offer/rejection: Within 24 hours of decision

2. Set Clear Expectations

Tell candidates exactly what to expect, when.

Example (in initial email):

"Here's what happens next:

• We'll review applications by Friday, Jan 12

• Phone screens will be scheduled week of Jan 15

• Full interview process takes 2-3 weeks

• You'll hear from us (yes or no) within 5 business days"

3. Move Fast

Speed is respect. Every delay signals you're not serious.

SLOW (loses candidates)

Application → 2 weeks → phone screen → 2 weeks → interview → 1 week → offer

Total: 5 weeks

FAST (keeps candidates)

Application → 3 days → phone screen → 3 days → interview → 2 days → offer

Total: 8 days

4. Respect Their Time

Don't waste it on unnecessary steps.

  • Streamline your process: 3-4 stages max, not 6-7
  • Combine interviews: Panel interview instead of serial 1-on-1s
  • Reasonable assignments: 2-3 hours max, paid if longer
  • Prep interviewers: Don't ask the same questions twice

5. Build Relationship Early

Candidates are less likely to ghost someone they've connected with.

• Use their name (not "Hi Candidate")

• Reference specifics from their resume

• Share why you're excited about them

• Connect them with future teammates early

• Ask about their timeline/other opportunities

6. Sell the Role (Don't Just Screen)

Interviews are two-way. If you only assess and don't sell, they'll lose interest.

DON'T:

  • • Interrogate
  • • Stay transactional
  • • Hide challenges
  • • Rush them off the call

DO:

  • • Have a conversation
  • • Share your story
  • • Be honest and excited
  • • Leave time for their questions

7. Make It Easy to Decline

People ghost because saying no feels awkward. Remove the awkwardness.

Template:

"If your situation has changed or you've decided to pursue other opportunities, no problem at all—just let me know so I can focus on other candidates. I appreciate your time either way."

What to Do When You're Ghosted

Step 1: Wait 3-5 Business Days

Give them a chance. People get busy. Emails get lost.

Step 2: Send One Follow-Up

Friendly, low-pressure, easy out.

Subject: Checking in on [Role] opportunity

Hi [Name],

I wanted to follow up on our [interview/conversation] last week. We're still very interested in moving forward with you for the [Role] position.

I know things can get busy—if your situation has changed or you've decided to go in a different direction, no worries at all. Just let me know so I can plan accordingly.

If you're still interested, I'd love to schedule [next step]. Are you available this week?

Thanks,
[Your name]

Step 3: Try a Different Channel

If email fails, try:

  • • LinkedIn message (less formal, higher open rate)
  • • Phone call (leave voicemail)
  • • Text (if you have their number and they consented)

Step 4: Set a Deadline

After one week of silence:

"Hi [Name], I haven't heard back, so I'm assuming you've decided to pursue other opportunities. We'll move forward with other candidates. If that's not the case and you're still interested, please let me know by [date]. Wishing you the best!"

Step 5: Move On

Don't take it personally. Don't keep reaching out. They're not coming back.

Keep the door open: Sometimes candidates re-engage months later. Stay professional. Keep their info. You might work together someday.

Re-Engagement Tactics (Advanced)

Sometimes you can revive a ghosted candidate. Here's how.

Tactic 1: The "What Went Wrong" Email

Honest, curious, open-ended.

"Hi [Name], I noticed we lost touch. I'd love to know—was it our timeline, the role, something in the interview? Your feedback would really help us improve. No hard feelings either way."

Tactic 2: The "New Information" Hook

Something changed that might re-interest them.

"Hi [Name], I know we lost touch, but wanted to share: we just [raised funding / launched new product / expanded team / adjusted compensation]. If you're still exploring opportunities, I'd love to reconnect."

Tactic 3: The "Different Role" Offer

Maybe the role wasn't right, but another one is.

"Hi [Name], I know the [original role] didn't work out, but we just opened a [new role] that might be a better fit based on your background. Interested in chatting?"

Tactic 4: The Long Game (Talent Pool)

Add them to your talent community. Stay in touch casually.

  • • Newsletter with company updates
  • • Invite to company events or webinars
  • • Share relevant content (not sales-y)
  • • Reach out quarterly with new opportunities

Reality Check:

Re-engagement works less than 10% of the time. It's usually better to invest that energy in new candidates who are actively engaged.
